Ask after a real experience

A good moment is after the customer has had enough experience to comment. For a bicycle workshop, that might be after collection and an opportunity to use the repaired bicycle, rather than while the customer is still waiting for the work.

Make the request part of a consistent customer process. Staff should not have to guess which customers are likely to leave five stars before deciding who receives it.

Google provides a review-link option for Business Profiles. Its review guidance explains ways to share the link or QR code with customers.

Use a short, neutral message

Example request

Thank you for visiting our workshop. If you would like to share your experience, you can leave an honest Google review using this link. Your feedback helps us understand what worked well and what we can improve.

Replace the example with wording that fits your business. Include the actual review link only after checking that it opens the correct profile.

Do not write the review for the customer or ask them to insert a list of service keywords. The value of the feedback comes from their own experience and words.

Avoid incentives and selective requests

Google’s Maps contribution policy prohibits incentivised reviews and selectively soliciting positive reviews. Do not offer a discount, gift or other reward in exchange for a review.

A survey that sends only happy customers to Google while diverting unhappy customers elsewhere is not a neutral request process. You can provide a support route to everyone while also leaving the review option open to everyone with a genuine experience.

Never make a refund, repair or promised service conditional on removing criticism or changing a rating.

Reply to feedback thoughtfully

Thank the reviewer and address the point they raised. If an issue needs investigation, offer an appropriate private contact method. Avoid publishing order details, private messages or other personal information in a public response.

For a review about unclear collection hours, a helpful reply can acknowledge the confusion and explain where current hours are available. An argument about the customer’s attitude rarely helps the next reader understand the business.

If a review appears to violate the platform’s rules, use the reporting process. Disagreement alone is not evidence of a policy violation.

Turn repeated feedback into improvements

Review patterns over time. Several comments about directions, delays or unclear prices may identify an operational problem that a better response cannot fix by itself.

  1. Keep the review link accurate.
  2. Use an optional, consistent request.
  3. Assign someone to monitor and reply.
  4. Record recurring issues for the team.
  5. Update the website when feedback reveals missing information.
